School Admin Guide

As a School Admin or Trust Admin, you configure the platform, manage staff access, and get a bird's-eye view of careers education across your school — or across all schools in your trust.

Overview

Admins have the broadest access in Chapter. School Admins manage a single school; Trust Admins can manage every school in their trust from one login. Both roles can configure settings, invite staff, enable modules, and access full Gatsby reports.

Admin vs Careers Lead

In many schools, the Careers Lead is also set as an Admin. This gives them full access to settings and billing without needing a separate account. You can assign any user multiple roles by contacting Chapter support.

Getting started

Complete these four steps before your Careers Lead starts using the platform.

    Configure your school profile

    Go to Settings → School and add your school name, URN, address, phase, and contact details. This information powers your Ofsted-ready reports and sets up your billing profile.

    Invite your Careers Lead and staff

    Go to Settings → Team and click 'Invite Member'. Enter their email and assign a role (Careers Lead, Teacher, or Admin). They'll receive a setup email.

    Enable the modules you need

    Go to Settings → Modules and switch on Events, Guidance Sessions, Lessons, Form Time, or Parent Digest. You can enable or disable modules at any time.

    Review reports once data flows in

    Once your Careers Lead starts logging activities, open Reports → Gatsby to see live benchmark scores. Reports update in real time.

Add and manage staff accounts with role-specific access. Each role sees only the parts of Chapter relevant to them.

  • Invite staff via email — they set their own password
  • Assign roles: Careers Lead, Teacher, or Admin
  • Deactivate accounts instantly when staff leave

Modules

Chapter is modular. Enable only the features your school needs. Modules can be toggled on or off at any time from Settings → Modules — no data is lost when you disable a module.

  • Events — Create and manage careers events. Provider self-registration links.
  • Guidance Sessions — 1:1 guidance booking and outcome tracking. Auto-logs BM8.
  • Lessons — Lesson plan builder and in-browser slide delivery.
  • Form Time — Form-time careers activities and teacher logging tools.
  • Parent Digest — Automated personalised email updates for parents.

Start with the essentials

For a new school, start with Events and Guidance Sessions. These two modules cover the most impactful Gatsby Benchmarks (BM5, BM6, BM8) and give your Careers Lead the fastest wins in your first term.

Trust Admin

Trust Admins have all the same powers as School Admins, plus the ability to manage multiple schools from a single account.

  • Use the school switcher (top of the sidebar) to move between schools in your trust
  • Each school has its own data, settings, team, and reports
  • Billing is managed centrally at the trust level
  • Trust-level Gatsby reports aggregate data across all schools
  • You can invite separate Careers Leads for each school — they only see their own school

Separate logins per school

Do not use a single Trust Admin account as the Careers Lead for individual schools. Create separate Careers Lead accounts for each school so activity is properly attributed and reports remain accurate.

Pro tips

Admin best practices

  • Set up the school profile before inviting the Careers Lead — it makes their Getting Started checklist smoother.
  • Connect your MIS in the first week to avoid hours of manual student data entry.
  • Enable Parent Digest only after you have a complete student list — partial data leads to incomplete emails.
  • Deactivate staff accounts promptly when people leave — it prevents data access issues.
  • Review the Gatsby report at the start of each half-term and share it with your senior leadership team.
